Mail for Exchange security

  • SSL for encrypted https connection between device and server, data being stored to the device is not encrypted

Installing Mail for Exchange from memory card

  • Mail for Exchange installation file exists in device memory card
  • Perform the installation as follows:

    1. Click application menu button & choose Office



    2. Choose File manager



    3. Choose memory card – Software



    4. Choose Mail for Exchange sis-file



    5. Click Options and Open



    6. See the installation start



    7. Click Yes



    8. Click Continue



    9. Click Continue



    10. See installation progress



    11. Installation completed



Configuring Mail for Exchange

A) PREREQUISITIES

  • Before starting to use Mail for Exchange, you need the following information from your company IT administrator:
    • Exchange server name or IP address
    • Domain name
    • Your user name and password
      • This is often the default network username and password

B) EXCHANGE PROFILE CONFIGURATION

  1. Select MfE folder from Menu



  2. Open the configuration application



  3. Create new profile by clicking Yes



  4. Click each setting for configuration



    • Connection: IP address / Server name, access point
    • Credentials: network username, password and domain name
    • Sync content: what to sync, email, contacts, calendar
    • Sync schedule: when to sync, manually, automatically or timed peak (office hours),
      off-peak
  5. Mandatory settings indicated by red asterisk
  6. Connection settings



    • Exchange server: IP address / Server name
    • Secure connection: Yes, if SSL is in use
    • Access point: “Used connection”
    • Sync while roaming: Yes always if traveling
    • Use default port: Yes

  7. Credentials



    • User name: Network user name
    • Password: Network password
    • Domain: Network domain

C) SYNC PROFILE CONFIGURATION

  1. What to sync



    • Click each sync content to enable or disable to sync.
      At least one method has to be chosen.
    • Note that email has to be chosen before Mail for Exchange inbox is visible
    • In case of conflict: Server wins

  2. When to sync



    • Manually, automatically or periodically timed
    • If peak and off peak are not set to “Manual” the user will have to configure both the peak sync and off-peak sync schedules.

    • Sync automatically or periodically at some time interval

    • To choose manually peak and off-peak time and days

    • Manually, automatically or periodically timed (see picture 11 to choose peak and off-peak time and days)

  7. Saving the profile



    • When done press the “Back” button

  10. Mail for Exchange will prompt for missing mandatory items if you try to save the profile before giving all the data that is needed.

Using Mail for Exchange

Synchronizing Data

  • User can choose to sync emails, calendar and contacts. At a minimum emails will have to be synced.
  • User can configure sync frequency in the following ways:
    • Selecting to be “always on”
    • Defining their peak and off-peak times
    • Manually
  • A manual sync can be performed at any time regardless of sync profile by selecting the Mail for Exchange application and clicking Options > Synchronize.

Do not use PC Suite to sync Calendar or Contacts while using the Mail for Exchange client. Using other sync software on a device with Mail for Exchange will result in corrupted Calendar and Contacts lists.

Using Mail for Exchange

  • Mail for Exchange email Inbox is for exchange emails



  • Native device calendar and contact applications contain synchronized calendar events and contact information between server and device

Handling emails and attachments

  • Mail for Exchange emails can be found from Mail for Exchange folder
  • Open wanted email by clicking Open or pressing the center button of the rocker. Scroll down to see more.
  • By pressing Options, email can be replied to and forwarded





  • Open attachment by clicking Attachments. Supported attachments are the files that are supported with device applications e.g. *.doc, *.ppt, *.pdf, *.txt, *.jpg, *.xls etc.
  • Fetch attachment







  • Attachment can be saved to device memory or opened using device native application like office applications or media player.



Sending new email

  • Sending new emails will be performed from New message and choose E-mail



  • Write recipient email address or search from local contact database by clicking Options > Check Names after typing part of the user’s name



  • Also Company directory may be used to search from Global database
  • Add attachment by clicking Options > Insert and choose file to be attached



  • Send email by clicking Options > Send





Calendar & Contacts

  • Calendar data will be synchronized between the device and the server



  • Calendar invitations can be handled from device



  • Contacts will be synchronized between device and server



Company Directory

  • Global Address List (GAL) is supported on MfE 2.0
  • With this feature it’s possible to search for other Exchange users, view their contact details, store their information to a contact, call them, or send them a message

    1. Company Directory



      • Go to MfE folder and start Comp.Dir.

    2. Searching



      • Insert part of the name or email address and press OK for search

    3. Search starts



      • Inserted name is being searched from the global address book

    4. Address matches



      • Address is matched, options can be used to view it, add it to the local contacts, to call or to create a message. Also it can be used to redefine the search

    5. Sending message



      • Found contact can be used to send a message

Active standby (E & N Series) and Email key (Nokia E51, E61, E62, E65, E61i only)

  • Email key, located next to end key can be associated to one of the installed email applications. When pressed the associated email program will open in the Inbox view.





  • If pressed and held, “long press”, the associated email application will be opened in it’s editor mode.
  • Active standby feature displays the two latest email headers along with the number of unread emails in the top right corner of the display.



  • Calendar entries for the current day are displayed below the email view. As a calendar entry becomes active it’s removed and the NEXT calendar event is displayed.
  • Notes/To-Do's are also displayed if there are that need attention.
  • These features will be enabled automatically when Mail for Exchange is installed and configured. These features are part of the device operating system and not part of the Mail for Exchange program.
